VACANCY ANNOUNCEMENT - ADMINISTRATIVE ASSISTANT (Group II of the Local Agents' salary grid) in the Administrative Section of the Delegation of the European Commission in The Gambia

Contract period: unlimited, with a probation period of 6 months

 

Qualifications and Experience:

  • Diploma in Administration and Accounting/ Business Management
  • Minimum 3 years work experience in a similar position or 3 years of relevant experience in Administration and Accounting
  • Must be IT literate
  • Perfect knowledge of English
  • Good communication skills
  • Knowledge of French would be an advantage
  • Knowledge of local languages would be an advantage
  • Knowledge/experience in Administration and Accounting

 

Functions and Responsibilities

  • Assist with the management of Office premises
  • Deal with suppliers and contractors on administrative issues
  • Assist with the preparation and follow-up on supplies purchased for the EUD
  • Assist with upgrading of staff information in HR/ e-del-HRM
  • Arrange with the competent clinic for the annual medical visits for the local staff
  • Management of the EEAS budget in BudgDel and introducing requests
  • Initiating payments in ABAC WF and preparing Commitments & LEF/BAF
  • Responsible for closure of all lots and monthly Imprest Accounts
  • Responsible for reconciliation of monthly bank statements and replenishment requests
  • Responsible for the management of the Petty Cash and Fuel Coupons
  • Management of the Press and information budget in a timely manner (commitments & payments)
  • Responsible for the preparation and payment of staff salaries and onward transmission to Bank  
  • Drafting of outgoing correspondence
  • Documentation handling and filing
  • Any other administrative duty as assigned.

  • Ability to work under pressure
  • Must be discreet, honest and have a high sense of responsibility
  • Excellent organization and communication skills, writing and interpersonal;
  • IT acumen;
  • High ethical standards and a Sense of diplomacy

Remuneration:

  • In accordance to the salary grid for Local Staff of the EU Delegation in The Gambia, depending on qualification and experience.
