The European Union (EU) is an economic and political partnership between 27 European countries. It plays an important role in international affairs through diplomacy, trade, development aid and working with global organisations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy.
The EU Delegation to Israel represents the European Union in Israel. It presents the EU's positions and interests to the Government of Israel, with the overall goal of advancing relations between the EU and Israel.

- We offer a post of Secretary in the Ambassador’s Section, and support to the Other Sections. Under this post, the recruited person will be attributed functions depending on the needs of the Delegation and on the changes of these needs. The secretary will be in charge of the protocol matters, will provide administrative and logistical support for the organisation of internal and external events such as meetings, workshops, conferences and public events, will help in the logistical organisation of breakfasts, lunches, dinners, receptions and other events at the HoD residence and at the Delegation. The successful candidate will serve under the supervision and responsibility of the Head of Delegation.

Additionally, the position requires a resourceful team player who demonstrates an extensive ability to exercise confidentiality and professionalism at all times. The candidate must have good drafting and communication skills in English and Hebrew. The candidate will be required to quickly attain competency with the European Union’s procedures and IT tools.
We offer a competitive position in an international environment. The base salary will depend on relevant and verified employment experience, typically starting from 11,212 ILS and including benefits package according to the Israeli Law.
Functions and duties:
Under the supervision of the Head of Delegation, the selected candidate will be responsible for the following tasks:
Organisation and coordination of events and VIP visits
- Provide administrative and logistical support for the organisation of internal and external events such as meetings, workshops, conferences and public events.
- Logistical organisation of breakfasts, lunches, dinners, receptions and other events at the HoD residence and at the Delegation
- Tendering for catering and other related matters to events, including annual forecasts of expenditure for representation and related budget follow up
- Preparation of invitations and programmes
- Facilitation of any related logistic or other arrangements (transportation, venues/rooms, materials, refreshments, security preparations, reservations for hotels, restaurants)
- Assist in logistic arrangements of high level visits to Israel
Protocol Assistance
- Liaise with Israeli authorities on diplomatic ID, visa, customs clearances, car number plate procedures for expatriates of the EU Delegation and EUSR and for EUBAM and EUPOL COPPS missions
- Communication related to protocol matters as needed with MFA and other authorities
- Administrative matters related to the EU Delegation, EUBAM, EUPOL COPPS and EUSR MEPP
Secretarial support
- Back-up to HoD secretariat, but also to other sections as needed
- Central registration of incoming mail in Ares
- File, archive, make paper copies and assist in distribution of documents as requested
- Update the Delegation's general contacts lists in Outlook (HoMs, Protocol etc.)
- Other secretarial and administrative assistance as requested by the Head of Delegation

Eligibility Criteria
Minimum Requirements:
- Minimum two years professional experience in similar tasks to those mentioned above
- Fluent in Hebrew and English (speaking, reading, writing)
- Very good computer literacy, excellent knowledge of Excel
- An Israeli citizenship or a valid work permit for Israel
Assets:
- Completed secondary level education
- Knowledge of Arabic and/or other EU languages.
- Knowledge of EU rules and procedures
- Previous experience in International Organisations and/or embassies

The procedure
After the deadline for applications, the eligible applications will be reviewed by a Selection Committee set up for this purpose. The Selection Committee will prepare a short-list of candidates who are considered the most suitable for the post based on a preliminary assessment of the information provided in their application letter and the supporting documents. The short-listed candidates will be invited to an assessment phase, which will consist of an interview and a written test.
Only candidates admitted to each successive selection phase will be contacted individually; The Delegation will use the same means of publication as for this job advertisement to inform the remaining candidates once the recruitment procedure has been completed and that a candidate has (or has not) been recruited.
